First inquiry

What a first review may ask for

The initial form asks for your name, email, artwork or a private link, and a description of the character project. Project stage and quantity can be left as uncertain. You may optionally add your country or region, creator or brand information, approximate size, timing and other details. A live submission also records an inquiry identifier, consent time and notice version.

It does not ask for an identity document, payment card, account password or full delivery address in the first inquiry.

Purpose

How project information is used

The information is used to understand the character, determine whether the project fits the service, identify missing details, assess a possible sample direction and reply to the inquiry. Short-lived hashed request identifiers help limit abusive submissions; raw IP addresses are not stored in the inquiry database.

Submitting an inquiry does not create an order, reserve production capacity or subscribe you to marketing messages.

Artwork access

How artwork is handled

• Live uploads are stored outside the public website directory and require a separate administrator login to download.
• Artwork is accessible to the Kinhatch operator for project review; it is not published or made available through public download links.
• Notification emails contain inquiry details and a protected management link, not artwork attachments.
• Portfolio or promotional use requires separate permission.
• Any later sharing with a production partner must be discussed as part of the project.

File lifecycle

Retention and deletion

Inquiry records and artwork are retained for up to 90 days and then removed by daily maintenance. Any longer project record period must be agreed separately. Managed recovery snapshots on the server are kept for up to seven days.

Email hello@kinhatch.com to request correction or deletion. Deletion removes the saved inquiry and uploaded files, including copies in managed server snapshots. Notification emails, separately downloaded files and encrypted off-server recovery copies require separate operator cleanup. Where an offline recovery copy cannot be edited immediately, deletion records must be applied before any recovered data is used. Recovery copies are for disaster recovery, not continued project use after deletion.

Infrastructure

External services

This website uses Alibaba Cloud for domain DNS, the Kinhatch server for website hosting and private inquiry storage, and Alibaba Mail for email notifications and correspondence. The operator may keep encrypted recovery copies on an operator-controlled computer in China. Data and email may be processed outside your country. These services process the relevant data to operate the inquiry service.

There is no advertising analytics or marketing signup in this form. We do not automatically download the contents of links you supply. Administrator access and the submission receipt use short-lived, essential cookies.

Ownership

Your character rights

You should submit only material you are allowed to share for project review. Submitting artwork does not transfer ownership of the character and does not automatically grant permission to manufacture, sell, advertise or publicly display it.

Any future case-study or promotional use should be agreed separately.
